Online accommodation allocations for large events
For large events requiring a high number of bedrooms but an uncertainty of final numbers, we have created an online bedroom allocation system that entirely removes the time involved to manage the bedrooms and manages the risk.
Our allocation system provides a means for delegates to register for accommodation on client events. The system can be modified to reflect client styling and attached to existing client websites and therefore positioned as the client’s own system if required. Many of the events we undertake have very specific requirements involving travel and syndicate or other activity selection requirements. There may also be a requirement to pay by credit card or recharge the cost of attendance. We have a base model that can be adapted quite readily to suit client requirements. It is our experience that the registration site is an important part of the delegate experience and that clients feel they need a bespoke service.
Approval Systems
We understand that each client has developed a different approach to approving transactions. The key is therefore to understand the client process and work with them to ensure our systems can reflect their requirements with the necessary checking and approval at appropriate stages.
We have developed a database to ensure that each client’s requirements are separately held by the system and understood by the consultants allocated to that client and are checked during the enquiry handling process. We will always work with our clients systems and policy.
If we are paying the bills for clients, we ensure venues have clear instructions for each enquiry on what can and cannot be charged and we then check that those rules have been obeyed when invoices are received.
Online Invoice Viewer
This service allows our centrally invoiced clients to access copies of their venue invoices 24/7. The facility allows them to see the original invoice, as received by Zibrant from the venue, the invoice will be cross-checked and queried where applicable by our dedicated consultants - therefore allowing full visibility of the specific items charged for within the payment – and consequently no surprises!
